 Following five steps are involved in Planning an Event:

  1. Why (.i.e. event objective)
    Why you want to organise the event? What is your purpose of organizing the event? What do you want to get through the event?

  2. What
    What you are going to do in the event? (i.e. decide event name, event profile, event highlights, program menu, Food and beverage menu, Guest Profile, Service providers, Entry Information, Promotional Campaign and event budget)

  3. When
    When u r going to organise the event i.e. date and time?

  4. Where
    Where you are going to organise the event i.e. venue?

  5. Who
    Who will be your organizers, sponsors, partners, clients and the target audience? How many target audience you are expecting to visit the event and why?

  • Tell about yourself and your company.

  • Specify Why you are worthy of Sponsorship

  • Give your event plan details.

 Event Calendar

 It is an ordered list of activities which are needed to be executed in order to produce and market the event.  These activities are of three types: pre-event, at-event and post-event activities. Following steps are involved in preparing an event calendar:
  1. Create a list of pre-event, at-event and post event activities.

  2. Set deadlines for each event activity.

  3. Assign event activities to individual team members.

 Competitors' Analysis

 It means finding information about your competitors. To do competitor analysis simply create a detailed event report of each and every event organized by your competitors by attending there events. Through competitors analysis you can determine the intensity of competition and thus your business potential. Following steps are involved in competitor analysis:
  1.  Who are your competitors? (.i.e. their name, age, sex, qualification, experience, income, market value, PR etc)

  2. How frequently they organise events?

  3. What they do in their events? (i.e. event plan details)

  4. Why people attend their events?

 Target Audience Research

 Following steps are involved in target audience research:
  1.  Who are the target audience of your intended event i.e. their age, sex, qualification, profession, income, status, religion, customs, traditions, lifestyle, personality, likings, disliking etc.?

  2. Where they live so that you can direct your marketing efforts towards them.?

  3. What are their desires and expectations from the intended event?

  4. When and where they want the intended event to take place?
